The Accounting Assistant/Clerk will assist the accounting department in managing daily financial and accounting tasks. This position requires strong attention to detail, organizational skills, and the ability to handle sensitive financial information. The Accounting Assistant/Clerk will perform a variety of accounting, bookkeeping, and financial tasks to ensure accurate and timely financial reporting.
Key Responsibilities:
- Data Entry: Input financial data into accounting software and databases with accuracy.
- Record Maintenance: Maintain and update financial records, including ledgers, journals, and bank statements.
- Invoice Processing: Prepare, process, and track invoices, ensuring timely payments to vendors and from clients.
- Reconciliation: Reconcile bank statements and accounts, identifying discrepancies and resolving them promptly.
- Financial Reporting: Assist in the preparation of financial reports, including balance sheets, income statements, and cash flow statements.
- Payroll Assistance: Support payroll processing by collecting and verifying employee timesheets and ensuring timely payroll submissions.
- Expense Tracking: Monitor and record company expenses, ensuring proper documentation and categorization.
- Communication: Liaise with vendors, clients, and internal departments to address and resolve accounting inquiries and issues.
- Compliance: Ensure all accounting practices comply with relevant regulations and company policies.
- Audit Support: Assist with internal and external audits by providing necessary documentation and information.
- General Administrative Support: Perform other administrative duties as required, such as filing, answering phones, and handling mail.
Qualifications:
- Education: High school diploma or equivalent; an associate’s degree in accounting, finance, or a related field is preferred.
- Experience: Previous experience in accounting or bookkeeping is desirable but not required for entry-level positions.
- Technical Skills: Proficiency in Microsoft Office Suite (especially Excel) and familiarity with accounting software (e.g., QuickBooks, Sage, Xero).
- Analytical Skills: Strong attention to detail and accuracy in financial data entry and reporting.
- Communication Skills: Excellent verbal and written communication skills.
- Organizational Skills: Ability to manage multiple tasks and prioritize workload effectively.
- Integrity: High level of integrity and trustworthiness in handling sensitive financial information.
- Problem-Solving: Ability to identify and resolve accounting discrepancies and issues independently.
Working Conditions:
- Work Environment: Office setting, with typical office hours. Some overtime may be required during peak financial periods.
- Physical Requirements: Primarily a sedentary role; involves sitting for extended periods, using a computer, and occasional lifting of office supplies or files.
