The Administrative Agent Support provides essential administrative and clerical support to ensure efficient operation of the office. This role involves handling a variety of tasks to facilitate the smooth functioning of the business, supporting managers, employees, and office visitors.
Responsibilities:
- Administrative Support:
- Manage and route phone calls appropriately.
- Greet and assist visitors with inquiries.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Office Management:
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
- Ensure operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Record Keeping:
- Maintain an efficient filing system for both electronic and hard copy documents.
- Update and maintain office policies and procedures.
- Financial Administration:
- Assist in the preparation of regularly scheduled reports.
- Reconcile and process expense reports.
- Support budgeting and bookkeeping procedures.
- Customer Service:
- Address customer inquiries and provide accurate information or direct them to the appropriate person.
- Assist in resolving administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
Requirements:
- Education and Experience:
- High school diploma or equivalent; Associate's degree or higher preferred.
- Proven administrative or assistant experience.
- Skills:
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
- Excellent written and verbal communication skills.
